Each time a sale is run new customers are added to your customer list. In addition to facilitating future registrations, this list is an invaluable tool for mailing and promotion. As your customer base increases, your customer profiles become more diverse. It then becomes economically advantageous to be selective in your mailing. For example, your auction company holds sales in a wide variety of locations, you wish to restrict mailing to a specific geographic area. TopBid's Mailing provides a means of selection using criteria such as Postal Code, Telephone Area Code, City or Province/State.
These criteria can be combined or used individually to create a specialized mailing list. In addition your selection may be narrowed to individual lists and groups based on special interests etc. You can even merge selections to produce an almost any combination. When merging files or selections customers are selected only once regardless of how many criteria they may meet. No duplicate selections.
Once your selection is made, you can print on labels, lists to your printer or export to a disk file which can be read by other special mailing programs such Street Sweeper . Several disk file formats are available such as fixed width ASCII and CSV or Text files can be imported to most word processors and data bases.
Customers with e-mail addresses can be selected to produce yet another list which can be exported to your e-mail program. The results of your selection may be previewed before actually creating your list. After sorting, based on selection criteria, TopBid displays the quantity selected. You can add/merge items to this list by creating new selection criteria and sorting with the Merge function turned on. When ready to print or export, select the type of file and destination required and print.
Creating a catalog of consignor items before the sale when time allows resulting in less errors and simplified clerking during the sale. Clerking only requires entry of the item number and all item information is displayed. Only the buyer number and cost are left to be entered. Catalogues are printed in two basic styles, single and two column. Additional breakdowns include Public, Private, Clerking, Sales File or Condensed.

The information comes from the sale file after items have been sold. A short item description is provide along with the price rounded to the nearest dollar.

When using inventory option absentee bids can be entered for any catalog item. When the item is clerked, high and back bid are instantly displayed. This allows absentee bids to be taken before and during the sale. A list of bids can also be printed for use by the auctioneer. This option requires Catalog Option.
This option enables the export of the TopBid catalog in formats which are readable by most word processors such as Word and WordPerfect as well as many spread sheets and document programs such as Adobe Acrobat. The export file format is a universal "CSV" format which is a comma delimited file. Once exported other software the catalog may be edited and published in many formats such as Adobe or HTML.
Many auctioneers like the convenience of having a copy of TopBid on a second computer. Some use a laptop to catalog consignor items at a location other than their auction hall . Others like to transfer files after a sale to their office or home computer where reports can be printed. As with other software your regular TopBid License allows the installation of TopBid on one system only. The File Transfer Option allows you to transfer files to and from your main system for convenience only.
You can enter detailed information about each vehicle such as make, model, color, serial number and odometer reading as well as accessories. Also buyer fees, consignor fees/commissions on each vehicle can be entered. In addition by categorizing entries sold items can be transferred to your history module. After entering consignors items you can print a schedule for each consignor which details the information you have entered including buyer fees, seller fees and commissions.
